As a growing football agency expanded its player portfolio, its operational systems had not kept pace.

Player data, contracts, bonuses, onboarding documentation and corporate structures were spread across multiple Excel sheets and shared folders. There was no single source of truth, limited visibility over contract expiry dates, and increasing compliance risk around sensitive personal and corporate data.

 

The agency needed more than a CRM. It needed structured infrastructure.

To design and implement a scalable, football-specific operational system that would:

  • Centralise player and contract data

  • Provide visibility of contract expiry and bonus structures

  • Separate identity, agreements and compliance

  • Track player Ltd companies and corporate governance

  • Reduce duplication and operational risk

  • Create a foundation for long-term growth

The Solution

The Solution

A relational, multi-board system was designed and implemented, structured around five core areas:

1. Player Management

A centralised player database capturing identity, contact details, club affiliation and high-level contract visibility.

2. Contracts & Representation Agreements

Structured agreement tracking including:

  • Guaranteed salary

  • Bonus potential

  • Total deal value

  • Commission modelling

  • Contract start and end dates

​

Expiry visibility was built directly into the system, improving renewal intelligence.

​

3. Player Ltd Companies

A dedicated board was introduced to track corporate entities linked to players, including:

  • Company name and number

  • Registered address

  • Directors and accountants

  • VAT status

  • Filing deadlines

​

Recognising that elite players often operate through limited companies ensured commercial and governance oversight remained aligned.

 

4. Onboarding & Compliance

A structured, per-player compliance checklist covering:

  • Passport and ID documentation

  • NI confirmation

  • Proof of address

  • Bank details

  • Representation agreements

Sensitive data was permission-controlled to reduce GDPR exposure.

5. Address History

Three-year residency tracking was separated from core identity data, enabling clean compliance reporting without overwriting historical information.

The Outcome

The agency moved from fragmented spreadsheets to a structured operational environment delivering:

  • Clear contract expiry visibility

  • Reduced data duplication

  • Improved governance around corporate entities

  • Stronger compliance posture

  • Scalable infrastructure to support growth

  • Greater confidence in renewal planning
